The Executive Director is responsible in assisting with the administration of the Associations, in
conjunction with the Association officers, to achieve the Association’s mission, vision, and goals
within the policies set forth by the Board of Directors (Board Policy Manual) the bylaws of each
Association, and necessary legal and financial requirements.
As a paid staff member and the servant leader, the Executive Director should assist the Association presidents. While each
Association has different needs, the president and board should evaluate this individual annually.
Membership
✓ Development and execution of membership recruitment and retention plans including
regular visits to member and non-member centers.
✓ Replies to member inquires promptly.
✓ Assists and advises ISBPA Local Associations in the continuing development of their
local activities.
Membership Services:
✓ Promote and foster support for local, state & national BPA membership and programs in
the state of Illinois.
✓ Attend local & state meetings - Communicate and promote BPA programs and
disseminate information relative to BPA programs and activities. Provide activity reports
to the membership at local and state meetings.
✓ Keeps abreast of current and new developments in the bowling industry and disseminate
this information to members.
✓ Serve in a liaison capacity between affiliated ISBPA Associations, member proprietors,
all other integers of the bowling industry and ISBPA headquarters.
Meetings & Events:
✓ Creates and sends communications regarding meetings and events in a timely manner.
✓ Prepares agenda and supporting materials for board meetings including necessary reports
and analysis for decision making.
✓ Prepares presentations/board reports (strategic planning, annual action plans, budgets,
etc.).
✓ Plans board meetings and events in consultation with president and executive committee.
✓ Sends communications to all Association members regarding meetings and events.
✓ Serves as on-site event manager for all meetings and events.
✓ Negotiates contracts for meetings and events to present to board.
✓ Markets all meetings and events in a timely manner.
✓ At each board and committee meeting, assure compliance of the Association’s
constitution and bylaws.
Finances
✓ Collects all income due the Association including membership dues.
✓ Pays all Association bills in a timely manner.
✓ Oversees development and projections for annual budgeting.
✓ Uses sound judgement with Association funds and investments.
✓ Develops non-dues sources of revenue through sponsorships, events, etc.
✓ Provides monthly financials to president/executive committee in accordance with
standard accounting principles and within the organization’s financial policies.
✓ Assure all necessary legal and financial filings are completed as required by law.
Tournaments:
✓ Prepare or supervise all marketing and promotional materials and shipping & delivery
mechanisms for each event.
✓ Coordinate center enrollment process.
✓ Coordinate audit of entries as received.
✓ Coordinate bowler and center notification procedures.
✓ Supervise the on-site conduct of affiliate roll-offs and finals.
✓ Prepare final result lists for bowlers, participating centers, and the media.
Legislative/Government Affairs:
✓ Monitors legislative activities working closely with state lobbyist.
✓ Establish relationships with local, county and state government representatives.
✓ Other duties directed by the board.
Website Supervision:
✓ Responsible for maintaining ISBPA website, bowlillinois.com. In conjunction with
webmaster, develop and post relevant and timely information for members and their
customers. Supervise the webmaster and maintain/update site on continual basis.
Other Activities:
✓ Submits all necessary information to BPAA to retain its BPAA affiliation.
✓ Direct supervision of all paid staff.
This position reports directly to the Association President
QUALIFICATIONS:
✓ Knowledge of general business methods, functions of a trade association, sales and
marketing techniques.
✓ Computer literacy in database management, word processing, spreadsheet, and internet
skills.
✓ Prior bowling industry experience and/or management experience in the service and retail
hospitality environment, is a plus.
This is a position averaging between 20-35 hours per week during the bowling season.
Hours are flexible during regular office hours (9:00 AM – 5:00 PM).
Hourly wage or salary commensurate with experience.
Tournaments:
✓ Coordinate tournament calendar, collaborating with members for scheduling.
✓ Prepare marketing and promotional materials and shipping & delivery mechanisms for
each event.
✓ Coordinate center enrollment process.
✓ Communicate with centers and participants via phone and email.
✓ Coordinate audit of entries as received.
✓ Coordinate bowler and center notification procedures.
✓ Supervise the on-site conduct of affiliate roll-offs and finals.
✓ Prepare final result lists for bowlers, participating centers, and the media.
Other Activities:
✓ Assist staff program coordinators in the conduct of the ISBPA Storm/Roto Grip Youth
Handicap Singles Tournament, and the ISBPA Grand Prix Scholarship High School Blast
Tournament.
✓ Order Processing - Process various request forms and fulfill orders, maintain files, and
prepare orders for shipment.
✓ Data Entry - Enter, update, and maintain database files for Association programs as
needed.
✓ Light Typing - Some word processing skills are necessary for preparing letters and
individual mailing labels.
✓ Mailing Assistance - Help prepare mailings to members by collating materials, packing,
and entering shipments into UPS manifest or with postage meter machine.
✓ Perform any additional related duties prescribed by the Executive Director.
The person in this position needs to be able to work as a team player on various multiple projects
as well as individually in an unsupervised environment. This position requires the ability to travel
and work on weekends.
